Booking & Cancellation Policy

1. Making a booking

Bookings are made online at innovexstudios.com, via WhatsApp, or by phone. A booking is only confirmed once the 50% deposit is successfully received. Unpaid bookings are held as tentative for a maximum of 2 hours; after that the slot is released back to availability.

Minimum booking durations are 2 hours for the main studio and 1 hour for podcast sessions. Multi-day bookings are 2 to 7 consecutive days at 12 hours per day — please see the dedicated multi-day terms in section 7.

Minimum booking notice is 4 hours from the current time. Bookings confirmed less than 24 hours before the slot incur a rush fee (see section 5).

2. Deposit & balance

A 50% deposit is charged at the moment of booking. This deposit secures your slot against the shared studio + podcast calendar and prevents anyone else from booking the same time.

The remaining 50% balance is due either the day before your shoot or on arrival— you choose at checkout. If you select “day before,” we will charge the card on file 24 hours before your slot. If you select “on arrival,” the balance is due before the studio is handed over to you at the start of your booked time.

We accept Visa, Mastercard, Amex, Apple Pay, and bank transfer. Approved agency accounts may pay on invoice with 30-day monthly terms.

3. VAT

All published rates are exclusive of UAE VAT (5%). VAT is added as a line item on the final invoice and collected with the balance payment. Agencies with valid TRN numbers can request a tax invoice at the email address on their booking.

4. Time counts from the slot you booked

Your booked time begins at the start hour on the schedule, regardless of when you actually arrive. If you booked 2 PM to 5 PM and arrive at 2:30 PM, you still pay for the full 3-hour window and the studio still handovers at 5 PM.

Please allow setup and wrap time within your booked hours. We suggest arriving 5–10 minutes early; staff will help you load in.

5. Rush booking fee

Bookings confirmed less than 24 hours before the slot start time carry a +20% rush fee on the total booking value. This covers same-day staffing, prep, and logistics. The rush fee is calculated automatically at checkout.

6. Overtime

If you need to continue past your booked hours and the studio is available, you may extend on the spot. Overtime is billed at AED 400 per hour for the studio, charged to the card on file at the end of your session. If the next time slot is already booked, overtime is not possible — please book a longer window up front.

Podcast overtime is billed at the tier’s hourly rate (no uplift).

7. Multi-day bookings

Multi-day bookings are 2 to 7 consecutive days at 12 hours per day, starting at the same daily hour. The studio is locked continuously for the full span — your gear stays safely set up overnight between working days, and no other customer can book in between.

Multi-day pricing is 12 hours per day × number of days, each day priced at the standard formula (AED 350 for hours 1–2, AED 300 for hours 3–12 = AED 3,700/day). Multi-day bookings follow the same deposit, cancellation, and overtime rules as single-day bookings.

8. Rescheduling & cancellation

You can reschedule or cancel via the booking confirmation email or WhatsApp.

8.1. Cancellation fee — flat 50% of the booking total

Whatever you have already paid is non-refundable. In practice that is just the 50% deposit charged at booking — we do not collect the remaining balance after a cancellation. There are no time-tier rules: the same outcome applies whether you cancel weeks ahead or the day of the shoot.

8.2. Rescheduling

Reschedules are handled case-by-case. WhatsApp the team and we will move your slot if availability allows. We aim to be reasonable about genuine schedule changes; repeat reschedules on the same booking may be treated as a cancellation.

8.3. No-show

If you do not arrive and do not cancel, the booking is treated as cancelled and the deposit is retained as the cancellation fee. We do not pursue the balance.

8.4. Late arrival

The studio has a 15-minute grace window from your booked start time. After that, staff may release the slot if we cannot reach you. If we do release the slot, the no-show policy applies.

8.5. If Innovex needs to cancel

In the rare case of a cancellation on our side (equipment failure, facility issue, force majeure), you receive a full refund of any amount paid plus a 20% credit toward a future booking, valid 6 months.

9. Card on file

Your payment method is stored securely with Stripe — our PCI-DSS-validated payment processor — as a tokenized reference. Innovex does not store your full card number or CVV on our servers — we see only the last 4 digits for identification. The stored payment method is used only for pre-authorised future charges tied to the same booking: balance (50% remainder), overtime, add-ons, and damage charges where applicable under section 10 of the House Rules. You can request a different payment method at any point during your booking. You can also ask us to remove the stored payment method after final settlement — it is automatically removed 90 days after booking completion.

10. Agencies & brands

For agency or brand bookings with monthly retainers, priority availability, or multi-booking packages, please contact us via the For Agencies page. Retainer terms include reduced deposit requirements, 30-day invoicing, and dedicated account support.

11. Equipment rental

Equipment rental bookings follow a separate set of terms covering damage deposits, return inspection, and late returns. Please see the Equipment Rental Policy.

12. Changes to this policy

We may update this policy to reflect operational changes or regulatory requirements. The version in effect at the time of your booking applies to that booking. Material changes will be communicated to customers with active future bookings at least 14 days before they take effect.
